How to Organize Project Tasks Around a Common Goal
To organize project tasks, give every task a home: one project per goal, with its people, files and history in one place. How to organize project tasks in Planfix, step by step
Step 1. Create one project per outcome
Make one project per outcome, such as a client, a release or a process, so every task has an obvious home. Use the Create button, or click New project in the Projects section menu. Choose a project group and whether to hide the project from employees or clients.
Step 2. Assign project roles to employees and clients
Decide who oversees the work and who talks to the client before tasks pile up:
- Project auditor, usually a manager: sees all tasks, files and actions in the project, except hidden comments.
- Client manager: handles communication with the project’s clients, who usually set tasks for this person.
- Default assignee and Default participant: suggested for every new project task.
- Counterparty: the company the project is done for.
Access is set per task, so being in a project does not by itself open all of its tasks to an employee.
Step 3. Build a project hierarchy with subprojects
Split work into subprojects when a stage has its own team or deadline, and stop at two or three levels. A subproject is an ordinary project with the Parent project field filled in, and project lists can show the hierarchy as a tree.
Step 4. Store project documents in one place
Keep files next to the work they belong to, not in chat history. Any file uploaded to a project task lands in the project’s folder automatically, and Project documents in the project card lists them all. Use New file and New folder to build a document base.
Step 5. Track progress with the project log, reports and task filters
Check progress inside the project instead of collecting status updates by message. The Project log gathers actions from all project tasks. The Reports panel in the project card runs any universal report already filtered to this project. The Task list view setting opens project tasks in a Default task filter or a Default planner.
Step 6. Save the setup as a project template with tasks
Once a project runs well, freeze its structure so the next one starts from the same point. Save a successful project as a template, or build one in Projects → Project templates → New project template and add tasks with New task template. How do you organize tasks in a project?
Start with one project per goal or client. Split large stages into subprojects, two or three levels deep at most. Give each person a clear role, keep files and history inside the project rather than in chats, and turn a project that works into a template for repeat work.
Can you use WhatsApp for project management?
For quick questions, yes, but a group chat has no project structure, per-task access or change log. Run the project in a dedicated system and connect the messenger: in Planfix, once the WhatsApp Business integration is connected, a first message from a new person creates a task and a contact.
Can clients see my projects in Planfix?
Clients with Advanced Planfix access see only projects where their company is the counterparty and projects where they can access at least one task. Turning on Hidden for contacts hides a project from client contacts who have no access to its tasks.
