Task-Based Communication: Move Chat Discussions into Tasks
Task-based communication means asking and answering work questions inside the task itself, so important decisions stop getting lost in long message threads. In Planfix you can chat directly inside tasks, and the whole history stays with the work. This short video (1:29) shows how to move team discussions from chats to tasks without switching to a messenger app.

How to move team discussions from chat to tasks in Planfix, step by step
Step 1. Ask your question in a task comment
Open the task and write your question in the comment field. Above the text, in the notification section (the Employees row), select the colleague who can help, then click Add. Everyone you selected is notified in their Chronicle.
Step 2. Get the answer in the same task
Your colleague sees the message in the Chronicle right away and replies in the same task. To answer a specific comment, they can click Reply: Planfix quotes the original and adds the people from that comment to the notification list automatically.
Step 3. Add a colleague to the task as a participant
If you need someone’s help regularly and they are not on the task yet, add them as a participant: they can then follow new comments and track progress in real time. A quick way is a mention: type @ in the comment field and pick an employee, who becomes a participant when the comment is saved. Step 4. Change the assignee or add several assignees
To delegate the whole task, change the assignee in the Assignees field of the Details panel. When several people work on it together, add them all as assignees, so everyone sees the full context and knows what to do next. You can also do it from a comment: click the Add assignee or participant icon, choose Assignees or Participants, click Add, then post the comment (the message itself is optional). The added colleague gets a notification in the Chronicle.
Step 5. Follow replies in the Chronicle
Even when you manage dozens of processes, keep asking questions inside the relevant tasks, so you don’t have to keep switching between chats, calls and emails. Replies addressed to you land in the Chronicle, your feed of task notifications; in the video, it sits in Summary Data with an Unread toggle.
Example from the video: a contract and a proposal
The video opens on the task “Finalize the final version of the contract” and then, in the Quick replies part (from 0:10), moves to a task called “Put together a proposal” with the status In progress. There, the author asks the team which implementation timelines they used on similar projects and selects the colleagues to notify. A teammate answers in the same task: usually two to three weeks, assuming no extra revisions, with an example file attached.
Back in the contract task, a mention asks a colleague to look at the payment clause. Later, a reply in a “Website redesign” project task appears in the Chronicle.
Who task-based communication is for
Unlike standalone internal team communication software, project management software with chat inside tasks keeps each question next to the work it is about. Task-based communication helps any team that depends on quick answers from colleagues:
- Specialists who get stuck: ask for help in the task instead of re-explaining the context in a separate chat.
- Managers of many processes: ask questions in dozens of tasks and read the replies addressed to them in one Chronicle feed.
- Cross-department work: add colleagues from other departments as participants to follow the discussion.
- Shared deliverables: when several people prepare a proposal or a contract together, add them all as assignees.

Can task discussions replace team chat?
For work questions, yes: the video recommends handling them inside tasks, which keeps the context and makes teamwork easier. For conversations not tied to a specific task, new Planfix accounts include a General chat system task where all employees are participants.
How do I turn a comment into a separate task?
Hover over a comment, click the Additional actions icon and choose Create task (the menu may look different depending on your comment feed view). The comment text becomes the new task’s description, the people notified about the comment become participants, and the original task becomes the parent task.
What is the difference between a task participant and an assignee?
Assignees do the work, and one task can have several of them. Participants have access to the task and can add comments, but they are not responsible for completing it, cannot change its status or end date, and the task does not appear in their Inbox.
