How to break down a task into subtasks in Planfix, step by step

Step 1. Add the first checklist items

Open the checklist in the task and add a new item. Pay attention to the suggestions that appear as you type: they make filling in a long list noticeably faster. Items are created, edited and completed straight from the task card, and a checklist holds up to 300 items, so even a large piece of work fits in one task.

Step 2. Build a multilevel checklist with subitems

When a step has steps of its own, add subitems beneath it to create a multilevel checklist. A multilevel checklist can be collapsed or expanded by clicking the triangle next to the checklist item name, which keeps the task card readable. You can also change the order of items to change the order the work gets done in.

Step 3. Import a list of stages in one go

If the stages already exist as text, in a brief, a message or a document, paste the whole list into the checklist at once. When you press Enter, Planfix automatically turns each line into a separate checklist item, so you never retype a plan you have already written.

Step 4. Turn a checklist item into a subtask

When an item turns out to be bigger than a single line of text, convert it into a task: it automatically becomes a subtask of the current task. Anything you nested beneath that item travels with it, because the new subtask keeps those checklist items. Planfix sets no limit on nesting levels, so a task tree can be as deep as the work requires, and a subtask’s deadline cannot be later than the parent task’s.

Step 5. Navigate the tree and track progress

Subtasks created this way appear in the panel on the right, under the Subtasks tab, and the link in the top panel takes you back to the parent task. Check items off as you complete the work: progress is visible no matter which task window you are in. In the account settings, you can define the logic for automatically marking checklist items as completed when a task moves to Ready for review or Completed.

Checklist item or subtask: which one to use

  • Checklist item: a step inside one task, checked off in a click. It suits a sequence of small actions that a single task can hold.
