Task Card in Planfix: Status, Dates, Checklist, Comments

December 3, 2025 4 min read 1

The task card in Planfix keeps everything about a task in one place: status, description, fields, checklist, comments and dates. This short video from the Planfix for Beginners series walks through the structure of tasks in Planfix: where each control lives and how to use it. It ends with a handy table of the task card icons.

Inside the task card in Planfix, step by step

Step 1. Change the task status

The status shows the stage of the task, so you can see at a glance how the work is moving. To change it, click the current status in the task card and pick a new one from the list. You can also select a status in a new comment and save it. The standard main statuses are New, In progress, Ready for review and Complete. Which ones you see depends on your role: assignees only get In progress and Ready for review.

Step 2. Read the description and edit fields

The description icon holds the main task details: everything needed to complete the task. The description also appears as the first comment. You can edit it at any time, insert Planfix data or format it as a table.

Fields show who is assigned to the task and who is involved. Click a field to change it, for example, to add or remove an assignee. By default, custom task fields appear in the Details panel, the task details view that lists every field value.

Step 3. Tick off the checklist

Click the checklist icon to open a mini to-do list inside the task, with each step on its own line. When the assignee completes a step, they tick it off. The assigner immediately sees which steps are done and which remain. Items can be created, edited and ticked off straight from the card; see how checklists inside a task work.

Step 4. Read, pin and search task comments

The comments icon opens the conversation and shows the number of unread messages. Too many notifications? Click the flag to mark them all as read at once. Pin essential notes you don’t want to lose. They collect in the Pinned comments panel, which opens from the push-pin icon.

When a task has run for a while and collected lots of messages, use the search. Enter a word, a phrase or just the first three letters, and Planfix lists the matching comments. To bring colleagues into the discussion, see how to mention teammates in task comments.

Step 5. Set start and due dates in the calendar

Right next to the comment search is the calendar. It shows the task timeline with the start date and the due date. If no dates were set when the task was created, add them here. To change a task’s due date, click the current date (or the calendar icon, if none is set). Pick a new date and save.

Step 6. Task card icons at a glance

The video ends with a recap table of the task card icons and what each one does:

IconWhat it does
StatusTracks progress
DescriptionHolds the work plan you add and edit
ChecklistBreaks down the steps for assignees
CommentsKeeps the conversation going
FlagMarks all messages as read
PinSaves important comments
SearchFinds what you need fast
CalendarSets or edits task dates

Who this video is for

  • New team members: learn where the status, description, fields, checklist and comments live before the first task arrives.
  • Assignees: tick off checklist steps and move the task to the next status.
  • Assigners: see at a glance which checklist steps are done and which remain.
  • Anyone in a long-running task: find a message by a word or its first three letters and keep key notes pinned.
  • Anyone planning the work: add a start date and a due date to a task that was created without them.

Task card in Planfix: FAQ

How do I search comments inside a Planfix task?

Open the task’s comments and click the search icon. Enter a word, a phrase or just the first three letters of a word. To search all tasks and comments at once, use the search bar in the upper-right corner of Planfix.

Can an assignee change a task’s due date?

Yes, but the change becomes a reschedule request that Planfix automatically sends to the assigner. If the task is set up without mandatory result checking, the assignee can change the dates directly.

How do I switch to the old task card view?

Planfix updated the task card in 2025. In the old view, the description, checklist, fields and comments are visible at once; in the current one, you switch between them. Open your user card, go to Settings → Appearance and turn off New default comment feed view. The old view is still supported for now.

Take the tour in your own task

Open any task and go through its card in the video’s order: status, description and fields, checklist, comments and calendar. To find the right task first, see how to search and filter tasks. A task is the most important unit of information in Planfix, so its card is a natural place to start with this task management software. New to Planfix?
