How to automate project management in Planfix, step by step
Step 1. Collect project files in the Documents tab
Searching several tasks for the right contract takes time you do not have, so open the project’s Documents tab instead. It lists the files that belong to that project, and a file uploaded to a project task lands there as well. From the same tab you can upload new files, sort them, filter them by a specific field or sort by the favorites icon, and document management in Planfix keeps earlier versions, so the latest copy of a specification is never in doubt.
Step 2. Group documents into folders
When a project accumulates a lot of documents, organize them into folders: select the files and choose where to move them. Contracts, specifications and finished deliverables then stay apart, which keeps even the most complex project navigable. Planfix also has a separate documents section that holds every file added to your account, so you can look for a file across projects when you no longer remember which task it came from.
Step 3. Read planned versus actual in the Reports tab
Whatever kind of project you manage, its key metrics belong in one view. The project’s Reports tab monitors planned versus actual task performance, employee productivity, expenses and any other metric your team needs. Planfix reports and the report designer group that data by the parameters you choose, which gives you a clear picture of how the project is really performing and lets you make adjustments before issues become bigger problems.
Step 4. Build a project template with tasks and assignees
Making the same type of project over and over is the part worth automating. Open Projects → Project templates and click New project template. Add the standard information: the fields the created project will have, the project group, the parent project and the project roles. Assign the responsible employees, then add a New task template for each task and subtask the project always includes, building the tree the team expects to see.
Step 5. Create a project from the template in one click
Once the template is ready, a new project is one click away, and it arrives complete with its tasks, assignees and prefilled fields, so the team can start right away. A project created this way also inherits the task display view, the default task templates and the recurring task schedules set in the template. Structural edits, such as adding a field, reach projects that already exist; content edits, such as naming a different assignee, apply only to projects created afterwards.

The example in the video is an ordinary working project that has accumulated a lot of documents. Once the files are grouped into folders, one for contracts and one for specifications, quick access replaces scrolling, and the documents section still shows them next to everything else in the account.
The same project then reports on itself. Because the reports compare planned work against actual work, a stage that is slipping appears in the numbers well before the deadline does, and the project template means the next project of this type begins already organized.
