How to Set Task Reminders in Planfix and See Them All

December 25, 2024 4 min read 3

How to set reminders in Planfix comes down to one icon: a bell on the task, a time, and a list of people who should hear about it. When a dozen tasks are open at once, the one that matters today is rarely the one on top of the list, and memory makes a poor scheduler. This one-minute video shows how quick task reminders work, from setting the first one to finding every reminder you have scheduled.

What you’ll learn: how to set reminders in Planfix

  1. What a reminder does: a notification at the time you choose, with a link to the task or contact (0:11).
  2. Where to add one: the bell icon in a task, a comment, a task template or a Planner.
  3. How to set the time, the text and the recipients, including task roles.
  4. How reminders appear in the Chronicle as unread events (0:31).
  5. Where to review sent and upcoming reminders in the reminder calendar (0:37).

How to set task reminders in Planfix, step by step

Step 1. Add a reminder with the bell icon

Reminders in Planfix draw attention to the right task or contact at the right time. Open the task, click the bell icon, and the interface for adding reminders opens. The same icon waits wherever work appears: while you create a task, inside a comment, in a task template, in a Planner and on a contact card. When the reminder fires, the notification goes out through the channel you indicated and carries a link to the task.

Step 2. Choose the reminder time

Pick one of the preset times or set your own date and time. To change a preset, click it: the picker works like a dial, where the first click chooses the hour and the second sets the minutes. The time can be changed for a specific reminder only — the list of standard reminders itself cannot be configured or modified.

Step 3. Decide what it says and who gets it

A reminder can carry its own text, separate from the comment it was added to; leave it empty and recipients receive the comment text instead. Recipients are chosen separately too: Select date, time, and recipients lets you drop people who do not need the nudge and add those who do, company employees and external users alike. Instead of names you can address a role — the auditor, assigner, assignees or task participants — which is handy in task templates: every task created from a client-request template arrives with the same reminder, aimed at whoever holds that role.

Step 4. Remind yourself from the Chronicle

You do not have to open a task to push it to later. While you process incoming events in the Chronicle, hover over the task and select Remind: the same interface opens, the reminder lands in the task, and the unread event leaves your Chronicle feed of priority messages until the time you set. Reminders then come back as unread events, which is the most convenient way to work with them.

Step 5. Review every reminder in one place

Inside a task, reminders live in the reminder panel: one tab lists the scheduled ones that have not been sent, the other those already delivered, and a scheduled reminder can be edited or deleted there. For the full picture, use the reminder calendar — a special case of the hourly calendar in Planfix, where reminders appear along with or in place of data tags, split into already sent and upcoming; a setting in the hourly calendar turns the view on.

Reminders as checkpoints, not alarms

Reminders also work as a tool for intermediate monitoring. When you assign a task or write a comment, add a reminder for the day you plan to check on it; when the notification arrives and the status is clear, set the next checkpoint. The task never slips out of sight, and nobody has to be chased for an update.

When the rhythm is fixed rather than ad hoc, open the reminder settings menu and choose Add recurring reminder. The notification then returns on the schedule you set, following your notification settings, and both scheduled and sent recurring reminders stay in the Reminders tab of the task.

Who it’s for

Reminders pay off wherever a dropped task costs money or trust:

  • Account managers: a follow-up reminder on the client’s task, so a quiet deal does not go cold.
  • Team leads: a checkpoint on every delegated task instead of a round of status questions.
  • Support teams: reminders built into the request template, addressed to the auditor role.
  • Finance and administration: recurring reminders for payments and reports that return on a fixed day.
  • Anyone juggling many tasks: the reminder calendar as the real plan for the day.

FAQ

Can I change the preset reminder times in Planfix?

The time of a specific reminder, yes: click the preset and set the hour and the minutes on the dial. The list of standard reminders itself cannot be configured or modified.

Where can I see all the reminders I have set?

In three places. The Chronicle shows reminders as unread events, the reminder panel in a task separates scheduled from already sent, and the reminder calendar shows sent and upcoming reminders together.

Can I add a reminder without opening the task?

Yes. In the Chronicle, hover over the task and select Remind. You can also add reminders while creating a task, in a comment, in a task template, in a Planner or on a contact card.

Start with the task you keep rechecking

Take the task you keep reopening just to see whether anything has moved, and set a reminder for the moment you will be able to act on it. Then clear the rest of the feed the same way and reach inbox zero in the Chronicle. New to Planfix? Sign up to try it.
