How to Export Data from Planfix to Google Sheets

November 1, 2024 4 min read 6

To export data from Planfix to Google Sheets, you do not need an add-on or a separate integration: the export button sits in the same screens where the data already lives. Reports, task lists and contacts each export on their own, and Google Sheets is one of the formats on offer, alongside XLSX and CSV — one of several ways of exporting data from Planfix. The 1.5-minute video below covers all three, and the steps add the settings that decide how much data actually reaches the sheet.

What you’ll learn: how to export data from Planfix to Google Sheets

  1. Run a report and export the result to Google Sheets (0:13).
  2. Export tasks and their associated data from the Tasks or Projects section (0:32).
  3. Narrow a task list with filters and pick the fields with column settings.
  4. Export customer and partner data from Contacts (1:05).
  5. Adjust grouping levels when the sheet holds less data than you expected.

How to export data from Planfix to Google Sheets, step by step

Step 1. Export a report

Open the Reports section, select the report you need and run it. The Export button appears only once there are results on the screen; click it and choose the Google Sheets format. Planfix reports also export to XLSX and CSV, so the same table can go to a spreadsheet for extra math or to a client as a file. The help article on exporting reports lists the available formats; for Excel, a data export template sets the layout of the file in advance.

Step 2. Export tasks and their data

Task data can be exported from either the Projects or the Tasks section. Open the list you need and narrow it with the filter: you can select active or overdue tasks, or tasks where you are the assigner or the assignee. Then open the column settings and choose which task data to export — the columns you keep are the columns you get in the sheet. Save the settings, click Report and select Google Sheets. Because the export follows the list, a saved filter over your tasks in Planfix works as a saved export.

Step 3. Export contacts and companies

Go to the Contacts section to export customer and partner data. The logic is the same as for tasks: configure the columns first, so the correct fields are included, then click Export and select the format. Any contact filter has its own Export button, which downloads every contact matching that filter’s criteria; Excel is the default format, with CSV and Google Sheet as the alternatives. To narrow a contact database before exporting, use the quick filters that appear when you click the relevant columns. Further options are in the help article on exporting contacts.

More grouping levels, more data in the sheet

The main tip in the video concerns reports: a report exports what it displays, so the amount of data in the Google sheet depends on the grouping levels set in Planfix. Adjust the grouping in the report to export more data — the more levels the report displays, the more detail reaches the sheet. If an export looks thinner than expected, the report setup is usually the place to look, not the export itself; for task and contact exports, the equivalent setting is the list of columns.

Contact exports are also logged, and the contact export log is kept for 90 days, like other activity logs. If you need everything at once rather than a spreadsheet, the general export in Account management produces a ZIP file of all account data, broken out by sections, in JSON.

Who it’s for

  • Finance and accounting: report figures in a spreadsheet for extra math before they enter a monthly summary.
  • Sales: a filtered contact list exported with only the fields a campaign needs.
  • Project managers: an overdue-task list in a sheet for a status review with a client.
  • Analysts: task figures in Google Sheets, where the pivot tables and charts already exist.
  • Account owners: a full archive instead of a sheet, from the general data export.

FAQ

Can I export a Planfix report straight to Google Sheets?

Yes. Run the report first, so the Export button appears, then click it and choose Google Sheets. XLSX and CSV are available in the same place.

Why does my Google sheet contain less data than the report?

A report exports what it displays. Add grouping levels in the report: the more levels it displays, the more data lands in the sheet. For task and contact exports, check the column settings as well.

Can I export contacts from Planfix to Google Sheets?

Yes. Use the Export button in any contact filter: it exports every contact matching the filter, with Excel as the default format and CSV and Google Sheet as the alternatives. Configure the columns first so the fields you need are included.

Start with the export you do by hand

Pick the one report, task list or contact segment your team copies into a spreadsheet by hand every month, and export it instead. What decides how useful the sheet is sits in the report or the list, not in the export dialog, so it pays to make the source more precise first — see how to make reports more informative in Planfix.
