How to Filter Contacts by Company Fields in Planfix

February 16, 2025 4 min read 4

If you need to filter contacts by company fields, you do not have to store the same data twice or export the list to a spreadsheet first. In Planfix, a contact is any individual or company you work with, and companies and contacts in Planfix can share the same fields, so one list shows a person and the company behind them. This one-minute video covers what to do when contact and company data has to appear in a single filter.

What you’ll learn: how to filter contacts by company fields

  1. How companies and contacts are separated in Planfix, and how their cards connect.
  2. How to add system and custom company fields to a contact template.
  3. How to show those company fields as columns in a contact filter.
  4. How to sort, pin and filter the contact list by a company value.
  5. How an edit in a company card reaches the contact card, and the other way round.

How to display company fields in a contact filter in Planfix, step by step

Step 1. Check how your contacts and companies are set up

Every client record in Planfix is a contact, split into Companies, usually legal entities, and Contacts, usually individuals. Both are built from templates: the default ones are Contact template (system) and Company template (system), and you can add your own in Contacts → Templates → New contact template or New company template. Each template carries its own fields, so a Suppliers company template can hold product categories that other company cards never show. Start by deciding which company values you want next to each person: region, contract type or account manager.

Step 2. Add company fields to the contact template

This is the step that makes a single filter possible. Both system and custom company fields can be displayed in the contact card: open the contact template for editing and add them with the plus icon, choosing the field type, the name and the access level for employees or customers. See company fields in the contact card for every place where company fields interact with a contact, from the template and the contact details to filtering, sorting, contact scripts and the contact card in the planner. Custom fields are created once in Account management → Custom fields → Contact fields and then reused in any template where they are relevant.

Step 3. Add the fields as columns in a contact filter

Open the Contacts section and create or open a filter. Contact filters work the same way as task filters: in the column settings, click the plus icon and pick the details to display. The list offers standard details plus the custom Company and Contact fields you added, which is how one view shows a person’s phone number beside their company’s region. Column settings are saved per filter, so each saved view keeps its own set.

Step 4. Sort, pin and filter by company values

Click a column name to remove or pin the column, sort it, or filter its values; drag a header to reorder columns. To narrow the list itself, add Selection parameters to the filter. Each one is numbered automatically, and those numbers go into the Filter logic block that sets the overall rule for selecting contacts. Click Filter to apply the view once or Filter and save to keep it in the left panel, then run bulk actions or an export on your contact database in Planfix straight from the result.

Company and contact data stays in sync

The company fields in a contact card are not copies. When the value changes in the company card, the change is transferred to the contact card automatically, and an edit made in the contact card reaches the company card the same way. One update is enough, and the filter column shows the current value for every person in that company.

Filters help with data entry too: with a filter applied, a record created through New contact or New company is pre-filled with the values set in the filter parameters.

Who it’s for

  • Sales teams: one list of decision-makers with their company’s segment and contract type in sight.
  • Account management and support: see who owns the account before replying to the person who wrote in.
  • Marketing: select contacts by a company attribute such as region or industry, then export the selection to a mailing service.
  • Finance: pull up every contact at companies on a given payment term.
  • Administrators: keep one set of fields instead of duplicating company data across contact cards.

FAQ

Can a contact filter show company fields?

Yes. Add the system or custom company fields to the contact template, then add them as columns in the contact filter. The column list includes the custom Company and Contact fields you have added to Planfix, so contact and company data appear in one list.

Do I need to copy company data into each contact card?

No. If the value of the field changes in the company card, the change is transferred to the contact card automatically, and the other way round. You maintain the data in one place.

Where are the columns added to a filter saved?

Column display settings are stored with each filter, so every saved filter keeps its own columns, order and sorting. A filter can also take the display settings of another filter.

Build the client list you actually need

Pick one company value your team keeps looking up, add it to the contact template and put it in your main contact filter. Planfix works as a cloud-based CRM transformer, so the client list follows your process rather than a fixed layout. Next, see how to import and export contacts in Planfix. New to Planfix?
