How to Show Task Counts and Totals in a Planfix Planner

Task counts and totals in a Planfix planner do not need a separate report: a planner list can count its own cards and add up a field while you work. The totals section in Planner lists calculates the number of tasks or contacts in a list, or the sum of a field for every object in it, and shows the result under the list heading. How to set up list totals in Planfix, step by step

Step 1. Turn on the totals section

Open the settings of the list you want to count and scroll to the very bottom, where the Show totals section setting sits. Task and contact lists in a planner in Planfix have this setting, so you can repeat the setup for each column of a funnel. Once totals are on, choose the total type: the number of objects in the list, or the sum of a field.

Step 2. Count the tasks in a list

For a counter, pick the total type that counts objects, then enter the text displayed before and after the value, for example “New leads” in front of the number. Planfix counts the tasks or contacts that match the list’s selection parameters and displays the figure below the list heading, where it changes as cards arrive and leave. In the video, the New list counts incoming leads this way, with no report and no manual recount.

Step 3. Sum the values of a field

To total money instead of cards, open the totals section of the Paid list, select Sum as the total type and specify the field the sum is calculated from. That field is preconfigured at the object card level, so the list only reads a value each card already carries. Add the text shown before and after the value, then repeat the same configuration for the Lost list to see total losses.

Step 4. Add a limit and color the heading

The Limit function lives in the same totals section. Activate it, define the trigger and the conditions, and select the color the block turns when the condition is met. The video uses it twice: in the In progress list, a limit of ten leads together with blocking new tasks from being dragged and dropped into the list, so an eleventh card cannot be added by hand; in the Paid list, the same function turns the heading green once the payment target is reached.

Example: lead counts, profit and losses in one sales funnel

The funnel in the video handles leads for Spanish language courses. The New list counts incoming leads automatically, the Paid list summarizes the total profit from paid leads, and the Lost list displays the total losses, so the pipeline reports itself on one screen. A second planner shows the same funnel for employees with two adjustments: the In progress list takes no more than ten leads, and the Paid heading turns green at the payment target. Because every list carries its own total, the board reads like a CRM dashboard: how many leads arrived, how much was earned and how much was lost.
