Task tags and labels in Planfix turn a flat list of assignments into categories you can filter in one click. In Planfix, any field can work as a tag: a personal icon keeps your own priorities in view, while a shared label shows the whole team which category a task belongs to. How to set up tags and labels in Planfix, step by step

Step 1. Mark tasks for yourself with Favorites (0:10)

When a marker is only for you, use Favorites in Planfix. Click the star icon on the task and choose the icon style you like. The task stands out in your lists, and your teammates see it exactly as before. You can then filter tasks by favorites in the list or in global search. Everything you have starred, including projects, comments, documents, contacts and reports, is collected in the Favorites section and grouped there by category, and the quick access panel opens it from any section in Planfix.

Step 2. Create a label field for the team (0:36)

A label is a custom field that holds your categories. Open the object whose tasks you want to label and add a new field. Choose the List field type, then add the values you want to use as tags: press Add for each one and drag the entries to reorder them. Save the settings and add the field to the object card so the label is visible in every task.

Two details worth knowing before you fill the list in:

  • a List field can be displayed as a list or as Buttons, which turns the categories into clickable buttons inside the task;
  • renaming or changing entries in the list has no effect on existing tasks, because the new settings apply to new tasks only.

If you have many values and you add new ones often, a Directory entry field suits better than a List; a List is the simpler choice for a short, stable set of categories.

Step 3. Show labels on Planner cards

To make the category visible on a board, open the card display settings of the list in the Planfix Planner and add the field you just created. In most types of Planner lists you can display both standard and custom fields on a card, choose the font and text size for each one and place it where you want it in the card. The label then reads as a bright visual category on every card, with no need to open the task.

Step 4. Add label columns to the expanded task list

The same field can become a column in the table view. Switch a Planner list to the expanded view in the menu that opens when you click the three dots, then click the gear icon and add your label among the displayed columns. After you save, the list always opens with those columns, so you can sort and scan categories at speed and run bulk operations on the tasks you select.

Step 5. Filter tasks by tags and labels

Once the field is filled in, it works as a filter. In the expanded list, the quick filter looks and works like the filter in the Tasks section, so you can narrow the list to one category in a click. For a view you need every day, add the label field to the selection parameters of a saved filter or a Planner list, and the right tasks are collected for you automatically.

Who tags and labels are for

  • Anyone with a long list: a Favorites icon keeps your own priorities in view without cluttering the team’s workspace.
  • Team leads: a shared label field gives every task a category the whole team reads the same way.
  • Teams that work on boards: labels on Planner cards show the category before anyone opens the task.
  • Administrators: one List field set up once serves lists, cards, columns and filters across the account.
  • Anyone who searches a lot: a category in a field replaces scrolling with a single filter.

Does Planfix have task tags?

Any field in Planfix can be used as a tag. For personal marks, use Favorites icons; for categories the team shares, add a custom field of the List type and filter tasks by it.

Can my teammates see the tasks I mark as favorites?

Favorites are a personal marker: the icon highlights the task for you and does not affect how your teammates see it. When a category has to be visible to everyone, use a label field instead.

What happens to existing tasks if I rename a label value?

Nothing. Renaming or changing entries in a List field has no effect on the data in tasks that already exist, and the updated settings apply to new tasks.

Pick the one question your team asks most about a task, such as its type, its client or its stage, and turn it into a label field with four or five values.
