8 Checklist Tips to Work Faster in Planfix
Checklist tips pay off most on the work you repeat: the same ten steps, typed again every week. Checklists in Planfix break a task into items you can tick off, hand to different people or turn into subtasks, and a handful of shortcuts makes a long list quick to build. This three-minute video collects eight of them.

How to Work with Checklists in Planfix, Step by Step
Step 1. Type the List with Shortcuts
The fastest way to create a checklist is the keyboard. Enter the text, press Enter, and the next item appears, which is enough to build a list of any length. Tab moves an item down one level and makes it nested; Shift + Tab moves it back up; Esc undoes the last action. If you forget a combination, the available commands are listed in the item’s context menu.
Step 2. Reorder the List and Reuse It
Items can be reordered by hand: drag one to a new position, or change its nesting level, which is what you need when an existing checklist has to be reorganized. And when a similar task comes around, copy the checklist from the old task to the new one in a few clicks instead of recreating the same items.
Step 3. Turn an Item into a Subtask
When one item grows into real work, convert it from the item’s shortcut menu into a full subtask, then add an assignee and a deadline. The subtask gets its own description and its own place for discussion, and it appears both in the task list and in the details of the parent task. If one employee creates the item and another converts it, the assigner of the new task stays the assigner of the task with the checklist.
Step 4. Quote an Item and Assign People
To discuss a single item, open its context menu and choose Quote: the item is added to the comment, so you do not copy the text or explain the context. You can also assign employees to individual items, either from the icon in the item row or from the context menu. Once an item has assignees, only they or the task creator can mark it complete; with no assignees set, any task assignee can.
Step 5. Show Only What Matters Now
Long checklists get easier to read with display settings. Show only incomplete items, hide or show subtasks, or switch on the filter that leaves just the items assigned to you. Nothing is deleted; the view simply stops competing for your attention.
Step 6. Add a Checklist to an Object
If the same kind of task comes up regularly, attach its checklist to an object. Open account management, go to objects, open the one you need for editing and add the items there. After you save, every new task created from that object arrives with the checklist already in place.
Who It’s For
- Team leads: one task, several assignees, each with the items that belong to them.
- Operations and service teams: a standard procedure that arrives with every task created from the object.
- Onboarding and HR: a first-week list that is copied to the next hire instead of being rewritten.
- Anyone running long tasks: shortcuts to build the list, filters to read it, subtasks for the parts that outgrow it.
FAQ
Can a checklist item become a subtask in Planfix?
Yes. Convert the item from its shortcut menu, then set an assignee and a deadline. The new subtask keeps its own description and discussion and shows up in the details of the parent task.
Can you assign a checklist item to a specific employee?
Yes, from the icon in the item row or from its context menu. When an item has assignees, only they or the task creator can mark it complete, which makes it clear who owns each step.
Can a checklist be added to new tasks automatically?
Yes. Add the items to an object in account management and save it. Every task created from that object then comes with the checklist already filled in.
