How to Add Events to a Planfix Calendar in Seconds

September 28, 2023 5 min read 3

To add events to a calendar in Planfix the way you do in Google Calendar, you need a form that asks only for what an event has and a grid you can click. Both are settings: the short form comes from an object, and the grid comes from an hourly calendar in a Planfix Planner. This 1.5-minute video shows the idea, and the steps below set it up in a current account.

What you’ll learn: a compact event form in the Planfix Planner

  1. How an Event object keeps the form down to a name, a time, a place and participants.
  2. Where to switch a Planner card from the full form to the short view.
  3. How clicking an hourly calendar creates the event for that exact time slot.
  4. How a list’s own parameters fill in the project and the assignee for you.
  5. What changes once the calendar is synced with Google Calendar.

How to add events to a calendar in Planfix, step by step

Step 1. Create an Event object

Go to Account Management → Types of objects and click New Object. Objects in Planfix are digital twins of a real process — a contract, a meeting — and each one carries its own form, statuses, scripts and buttons. Every account has at least one object, the standard task; an event deserves its own, so its form can stay short. The video builds the form on a task template: older accounts keep that option for backward compatibility, but Planfix now recommends objects.

Step 2. Keep the object form short

A new object opens with a standard set of fields. Select the ones an event needs, or click the plus button to create a missing one — for a meeting, usually the time, the place and the participants. Drag fields to change their position and width, and group them in panels. Deleting a panel also removes its fields from the form, so move anything you want to keep out of it first.

Step 3. Build an hourly calendar list

In the Planfix Planner, add a list and choose the Hourly calendar display view. The first item in Display data is Task dates: select it, and the hourly calendar shows the events themselves, by start and due date and time. Tasks longer than one day are not shown there, which suits events well.

Step 4. Switch the card to the short view

In the list settings, the Use full form option decides what a click opens. Full opens the object’s full form in a panel on the right; Short opens a short card — the compact view you want for events. You also choose what that card shows: standard and custom fields, attached files, the font and text size, and where each field sits.

Step 5. Add an event by clicking the grid

Click an empty spot in the hourly calendar and drag the new box to the length you need: Planfix creates a task for that interval. With Task dates selected, the click sets the start and due date and time and adds no data tag, and moving or resizing the block later changes them. Dragging an existing task into the grid works the same way. Every list also has a quick creation field — type a name, press Enter, and the event inherits the list’s selection parameters, including the date of the block you typed it in.

Step 6. Sync with Google Calendar, if you need it

Open the prepared calendar’s three-dots menu, choose Edit, go to Integrations and click Synchronize, then allow Planfix to manage your events. After that, the Google Calendar integration works both ways: tasks from Planfix appear in Google Calendar, and events added in Google Calendar appear in Planfix. Synchronization is available on paid and premium accounts, and the calendar’s selection parameters should stay as they were when you switched it on.

What an Event object looks like in practice

Say your team books client calls. The Planner list is an hourly calendar that selects this week’s calls, with the project already set in its selection parameters. Someone picks 11:00 on Thursday, drags the box to half an hour and types the client’s name — the event exists. A click opens the short card: name, time, place, participants — no description editor and no status picker, because the Event object’s form never had them.

Who it’s for

  • Sales and account managers: client calls booked in the slot where they fit, without leaving the week’s view.
  • Team leads: stand-ups and one-to-ones added during the planning meeting itself.
  • Office managers: meeting rooms and equipment held as time blocks the whole team can see.
  • Service teams: visits and appointments entered by time, then handed to an assignee.
  • Teams moving from Google Calendar: the same click-and-drag habit, with events and work in one system.

FAQ

Can I create an event by clicking a calendar in Planfix?

Yes. In an hourly calendar list, click the grid and drag the box to the length you need, and Planfix creates a task for that interval. With Task dates selected, the click also sets its start and due date and time.

Do I need a task template to make an event form?

No. Task templates used to define the task form, and older accounts keep that option for backward compatibility, but the form now belongs to an object. Create an Event object in Types of objects and build its form there.

Will events added in Google Calendar show up in Planfix?

Yes. Once synchronization is on for the Planner calendar it works both ways, and a task deleted in Google Calendar is deleted in Planfix too. It is available on paid and premium accounts.

Start with one Event object in your Planner

Pick the one thing your team schedules most often — calls, interviews, deliveries — give it an Event object with four fields and an hourly calendar list, and use it for a week. Fields and statuses can grow later: see how custom objects, fields and statuses work in Planfix. New to Planfix? Sign up to try it.
