Planfix Chronicle: Clear Your Task Notification Inbox
The Chronicle in Planfix works as your task notification inbox: a list of notifications about events in your workspace, with new ones at the top by default. When updates arrive from many tasks at once, a comment or a deadline is easy to miss. This short Planfix for Beginners video shows how to handle each type of event until nothing is left.
What you’ll learn: how to work through the Planfix Chronicle
- See what the Chronicle is and how its notifications are ordered (0:10).
- Open unread events, reply and mark them as read (0:21).
- Accept a new task and share the work through a subtask (1:14).
- Clear notifications for completed and ready-for-review tasks (2:01 and 2:16).
- Spot an overdue task and set a new due date (2:29).
How to clear your task notification inbox in Planfix, step by step
Step 1. Open unread events and mark them as read
Planfix keeps an unread event count in two places: the browser tab shows the total, and the Chronicle shows a count for each task. When you open a task from the Chronicle, the message you clicked is highlighted with a green bar, and other unread messages are marked with an orange bar.
Read the description and the chat history, reply to your colleagues and, if needed, set a reminder; in the video, it is set to check progress in a week. Events you mark as read disappear from the Chronicle. If an event needs no response, hover over it in the Chronicle and click Read, the flag icon. You can also set a reminder right from the Chronicle: it clears the unread notification now and brings the task back at the chosen time.
Step 2. Accept a new task
A new task has an orange label in the Chronicle. Once you accept it, the task moves to In progress and the orange label disappears. To work in parallel with a colleague, create a subtask for them with a title, description, assignee and due date. The subtask appears in the main task’s checklist. In the video, a reminder is also set for a meeting to discuss the details.
Step 3. Close the loop on completed and ready-for-review tasks
When the assigner has marked your task as completed (in the video, with an excellent rating), just react to the assigner’s comment to clear the notification. When a task is ready for review because an employee has made corrections, check the work; if nothing else needs changing, reply to the comment and mark the task as completed.
Step 4. Handle overdue task notifications
A missed deadline shows up as red title text and a system comment. Open the task, ask the assignees why it is late and set a new due date. To keep deadlines from slipping in the first place, see how to prevent missed deadlines.
Inbox zero for task notifications: the empty-Chronicle rule
Work through all five kinds of events, and the Chronicle is empty. The video recommends that you and your whole team keep it that way, so nothing that needs attention gets missed. As the Help Center puts it, a good Chronicle is an empty Chronicle.
The rule works beyond a single feed. A Chronicle can be set to show only the notifications for a specific project or object, which gives you a project activity feed, and several Chronicles combined form a control center for managing active projects. For feeds built around teams and processes, see how the Chronicle replaces noisy work chats.
Practical use cases: who this is for
- Assignees away from their desk: the mobile app has its own Chronicle, where the flag marks an event as read, the bell adds a reminder and the checkmark completes the task. A mistaken flag can be undone with Cancel for a few seconds.
- Assigners who follow up: a reminder can go to other recipients, including roles such as the assignees or participants, so a progress check reaches the people doing the work.
- Managers who track specific work: notification subscriptions can be set for one task, in the task card’s Notifications panel, or for a whole project, in the project card.
FAQ
How do I mark notifications as read in Planfix?
Hover over the event in the Chronicle and click Read, the flag icon. If Additional confirmation of reading events in the Chronicle is turned on in the Settings tab of your user profile, confirm with a second click on the green checkmark. Read events are not deleted: switching the slider in the top-right corner shows all events again.
Can I hide the unread notifications counter in the browser tab?
Yes. Turn off Counter in a browser tab in the Formatting group of the Settings tab in your user profile.
What does the orange label in the Chronicle mean?
It marks a new task that hasn’t been accepted yet. Once you accept the task, it moves to In progress and the label disappears. An orange bar inside a task means something else: an unread message.
Empty your Chronicle today
Open the Chronicle and work through it one event at a time until nothing is left, then agree with your team to keep it that way. To cut the noise at the source, configure Planfix notifications: Planfix recommends subscribing only to the ones that need your response. New to Planfix? Sign up to try it.
