Expanded Planner List View: Bulk-Edit Tasks in a Table

The expanded planner list view opens one planner list as a wide table, so you can pick the columns you need, narrow the list with quick filters and change many tasks in one go. Planners in Planfix are made of columns called lists, and you change a task by dragging it to another list; when a list grows long, the expanded view lets you work with it as a table. How to open a planner column as a table and bulk edit tasks, step by step

Step 1. Open the list in the expanded view

In the planner, open the menu of the list you need with the three dots in its header and switch to the expanded view, or click the expanded-view icon in the list header. In the current interface, that icon sits between the collapse icon and the three dots. In older Help Center screenshots, the menu item is called Expanded list….

In the Help Center screenshot, the planner stays in a panel on the left, and the list opens on the right as a wide table with the Create, Print and Import buttons, a Filter drop-down, a checkbox on each row and a close (×) icon at the top right.

Step 2. Customize the list columns

Click the gear icon to open Column settings and pick the columns you need, such as Number, Priority, Name, Project group / Project, Start date and Due date. Drag columns to change their order. To reuse the setup of an existing filter, choose it in the Use settings from filter field and click the Apply? link. Then click Save or Save and close: from now on, this list always opens with the columns you chose.

Step 3. Filter by column values with quick filters

The expanded view looks and works like a filter in the Tasks or Contacts section. Click a column header to filter by that column’s values or sort the list by it. The filter form depends on the column’s data type: for a fixed set of values, you simply pick one. To search by name across all planner lists instead, see how task search in Planfix works.

Step 4. Change many tasks at once

Tick the checkboxes next to the tasks and apply one change to all of them, such as a new project, assignee or parent task. The Do not notify about changes option is available only to administrators. More on bulk task actions in the Help Center.

If the list shows contacts, you can change several of them in one bulk action too.

Kanban board vs list view: when to switch

In the regular planner view, you drag a task to another list, and it takes on the parameters that list uses to select tasks. Hold Ctrl while dragging to add a value instead of replacing the existing one, for example, a second assignee; this works for the Assignee field and Set of values custom fields. Switch to the expanded list view when the job concerns the whole list: filtering by a column value, comparing start and due dates side by side or making one change to many tasks.

Practical use cases: who this is for

  • Team leads: hand several tasks from one list to another assignee in one bulk change.
  • Project managers: move a group of tasks to another project or give them a common parent task.
  • Deadline reviews: show the Start date and Due date columns and sort the list by them.
  • Sales and account managers: filter a contact list with quick filters and update the selected contacts together.

Can I bulk edit tasks from the planner?

Yes. If the planner list shows contacts, you can filter them with quick filters, select several, click Change, choose an operation and click Apply.
