Recycle Bin in Planfix: How to Restore Deleted Tasks
The recycle bin in Planfix is where deleted work waits for you: every section of the account has its own Recycle bin tab, so a task someone removed by mistake is still recoverable. This one-minute video shows what the bin collects, how to restore a deleted task and who is allowed to erase one for good.
What you’ll learn: how the recycle bin in Planfix works
- Where the Recycle bin tab sits in the Tasks section and what it collects.
- How deleted tasks and deleted task templates are told apart in the list.
- Which details the table shows: task number, name, project, deletion date and who deleted it.
- How to restore or permanently delete items, one by one or in bulk.
- How long Planfix keeps deleted objects before clearing them automatically.
How to restore a deleted task in Planfix, step by step
Step 1. Search before you dig
If a task has vanished from your lists, start with the global account search in the top right corner: anything still in the account turns up there. A task can also be hidden by a filter rather than actually deleted, so it is worth ruling that out first — see task search in Planfix. If the search comes back empty, the object was most likely deleted, and the next place to look is the recycle bin of the matching section.
Step 2. Open the Recycle bin in the Tasks section
Open the Tasks section and select Recycle bin in the left panel. It accumulates both deleted tasks and deleted task templates, and the list tells them apart by color: tasks are shown in black, templates in purple. That matters before you click anything, because restoring a template and restoring a single task are different outcomes.
Step 3. Find the right item in the table
The bin is a table, and its columns carry everything you need to identify the item: task number, name, project, the date it was deleted and the employee who deleted it. To search inside the bin, click the column header with the task name and type part of the name. Those last two columns usually end the “where did it go” conversation on their own.
Step 4. Restore it, or delete it for good
Select the task and restore it: it returns to its original section with all comments, settings and related information preserved, so you get the task back rather than an empty shell. Permanent deletion is the other option, and it is deliberately limited — only the account administrator can delete items from the recycle bin, and nothing erased that way can be restored. Both actions also work in bulk, so a batch of accidentally deleted tasks takes one pass. One more rule to keep in mind: Planfix automatically deletes objects that have stayed in the recycle bin for more than one year.
Deleted a project? Its tasks are still there
When a project is deleted, all of its tasks move to the recycle bin and are stored for one year, exactly like tasks deleted one at a time. There are two ways back: restore the project itself, or open the Tasks section and restore the tasks you need from the recycle bin in the left panel. Deleting a project is a restricted action in the first place — only the project’s author or an account administrator can do it.
Recycle bins in other Planfix sections
The Tasks bin is the one most people meet first, but the same safety net runs through the rest of the account.
Documents
Deleted files land in the Recycle bin of document management in Planfix. Select the ones you want there and click Restore: they go back to the folder they were deleted from. The same list has a Delete button for permanent removal, which cannot be undone. The steps are in the Help Center article on restoring a deleted document.
Directories
Every directory in Planfix directories has its own recycle bin for deleted entries and groups, showing the deletion date and the employee who deleted them; account administrators can restore or permanently delete entries. One caveat is worth knowing before you delete anything here: the entry is removed from all custom fields, and restoring it does not bring those links back. For entries already used elsewhere, archiving is the safer move — see deleting directory entries.
Who it’s for
- Account administrators: the only role that can empty the bin, which keeps irreversible deletion out of everyone else’s hands.
- Project managers: a deleted project stays recoverable down to its tasks, so reorganizing is not a one-way door.
- Team leads: the deletion date and the name of the person who deleted a task answer most “it disappeared” questions without a support request.
- Support and operations: a restored task keeps its comment history, so a client thread survives a mis-click.
FAQ
How long does Planfix keep deleted tasks?
One year. Planfix automatically deletes objects that have stayed in the recycle bin longer than that, and tasks deleted together with a project follow the same one-year rule.
Who can permanently delete a task in Planfix?
Only the account administrator. Other users can restore tasks from the recycle bin but cannot erase them, and a task that has been permanently deleted cannot be restored.
Does a restored task keep its comments?
Yes. A restored task returns to its original section with all comments, settings and related information intact.
Deletion you can undo
A recycle bin in every section turns deleting from a risk into an ordinary way of keeping lists clean. If your team still hesitates to delete anything, open the bin in the Tasks section and look at what is already waiting there — then set the rule that only admins empty it. Task management in Planfix keeps that history for a year, with the deletion date and the author of every removal. New to Planfix? Sign up to try it.
