How to Create a Task Filter in Planfix

June 12, 2024 5 min read 3

A task filter in Planfix collects every task that matches the conditions you set, so the list you need each morning is one click away. Task filters work on complex conditions, can be shared with colleagues, used for bulk changes and applied to the Planner. This three-minute video builds one filter from start to finish, using the requests of a sales department as its example.

What you’ll learn: how to create a task filter in Planfix

  1. Create a filter in the Tasks section, with a name and a color.
  2. Add selection parameters, such as object, assignee and status, and join them with filter logic.
  3. Group tasks by assignee and sort each group by completion date.
  4. Drop empty columns and add the fields you need instead.
  5. Filter by column, switch to overdue or your own tasks, apply bulk actions.
  6. Edit the saved filter, share it, copy it or set it as the default.

How to create a task filter in Planfix, step by step

Step 1. Create the filter and name it

Open the Tasks section, click Add in the left panel and choose how the filter should be displayed. Give it a straightforward name and a color so you recognize it later. The object and view fields can stay as they are. The Behavior and appearance tab decides whether the filter joins a group or stays out of the side panel.

Step 2. Add selection parameters and filter logic

Conditions live in the selection parameters block, and you can add as many as you need. In the video, three of them describe all active requests from the new employees: the object that stores the requests, the assignee, and the active status.

Each condition is numbered automatically, and you combine those numbers in Filter logic. They are joined with AND by default, so a task must meet all of them; switch to OR when either will do, as the video does for its two assignees.

Step 3. Group and sort the results

Grouping turns a long list into readable blocks. Group the selected data by assignee; any system or custom field can serve as the grouping key. Then sort inside the groups by completion date, so the tasks due soonest come first. The same parameters, grouping and sorting also drive lists in the Planfix Planner. When the setup is ready, click Filter to use it once, or Filter and save to keep it.

Step 4. Choose the columns you need

The table shows fields from the tasks it selected, and some are dead weight. In the video, attached files, priority, project, assigner and assignee are empty or duplicated, so they go, and task status and order amount take their place. Click the plus icon to add a field: standard details and custom fields are both available. Clicking a column name lets you remove, pin, sort or filter it, and columns can be dragged into order.

Step 5. Work with the tasks right in the filter

You can edit request data without opening cards: change a status, move a completion date, fill in any other field. Click a column header to filter by its values, on several columns at once; the circle next to the header resets it. The filter also switches between active, overdue and your own tasks, as the Tasks section does. Bulk actions work here too: select the filtered tasks and change their status, assignees or assigners in one pass, the same edits you make on single tasks in Planfix.

Step 6. Edit, share and reuse the filter

To change a saved filter, click its name in the header and open the menu behind the three dots icon. There you can edit the filter, for example its name and color, and grant access to chosen employees or customers: in the video, to the head of the sales department alone. You can also copy the filter, set it as the default for the section, move it to a filter group or delete it.

Example: active requests of two new employees

The filter in the video answers one recurring question in a sales department: what are the newcomers working on right now. Grouped by assignee and sorted by completion date, the table shows each person’s queue with the nearest deadlines on top, and the status and amount columns make it reviewable without opening a card. One caveat: if a field is not available to the employee using the filter, the selection parameters for it do not apply.

Who task filters are for

  • Team leads: one filter grouped by assignee shows every person’s queue.
  • Sales and support: active requests with status and amount in columns.
  • Onboarding: a filter for a newcomer’s tasks, shared with their manager alone.
  • Administrators: a default filter decides which list opens first when you enter the Tasks section.
  • Anyone with a long list: overdue and my tasks answer what to do next.

FAQ

How do I save a task filter in Planfix?

Set the conditions and click Filter and save instead of Filter. The filter stays on the left panel with its own columns, grouping and sorting, ready to reuse.

Can I share a task filter with colleagues?

Yes. Open the filter, click the three dots icon and grant access to the employees or customers who need it, such as one department head rather than the whole team.

Can I change several filtered tasks at once?

Yes. Bulk actions work inside a filter: select the tasks it collected and change their status, assignees or assigners in one operation.

Build your first filter

Take the list you rebuild by hand every day, write it down as two or three conditions and save it as a filter. Trimmed to the right columns, it becomes the view you work from, which is what task management software should give you. For the neighboring skill, see how to find, filter and sort tasks with search.
