How to Build a Company Structure in Planfix

October 13, 2026 3 min read 4

A company structure is what replaces one long list of employees: workgroups by department, team or area of responsibility, each with its own manager. It also saves managers from adding every new hire to projects and configuring permissions by hand, because in the Company and Employees section access follows the structure. This two-minute video explains how it is built and what it gives you.

What You’ll Learn: Why a Company Structure Matters

  1. What goes wrong when everyone sits in one shared employee list (0:00).
  2. How workgroups and group managers form the structure (0:32).
  3. What the visual org chart tells you about a person (0:57).
  4. Which advantages the structure brings as the team grows (1:16).

How to Build a Company Structure in Planfix, Step by Step

Step 1. Group Employees into Workgroups

In Planfix, a company represents your organization inside the system: the place where employees work with tasks, projects and clients. The structure itself is built from workgroups that bring people together by department, team or area of responsibility. Create a sales group for the sales managers, a support group for the support team, and so on; a person can belong to more than one group.

Step 2. Appoint Group Managers

Assign a manager to each group. That person answers for the team’s results and keeps an eye on deadlines, and the system supports them: a manager has access to the tasks of everyone in their group and in subordinate groups, meaning tasks where a subordinate is the assigner, assignee or participant. Tasks where the subordinate is only an auditor are not included. Managers also see the data tags their subordinates enter, so a report on time spent by the department adds up without anyone collecting numbers.

Step 3. Link Groups into a Hierarchy

Open the shortcut menu of a group in Company structure and select Change link, then add the manager group or the subordinate groups. The blocks are joined by lines that show subordination. The first two levels are displayed straight away, and deeper levels unfold when you click the block inside a management group. The Autodistribution button arranges the blocks for you.

Step 4. Read the Org Chart

The chart is not only a picture. Open an employee from it and you see who their managers are, which groups they belong to and which departments they manage. Each employee has a menu for making them a group manager, editing their profile or removing them from a group. Display filters help on a big chart: show only managers, or hide groups that have no links. By default, managers at the same level in one group can see each other’s tasks, marked with a glasses icon, so they can cover for one another; that can be switched off in the group editing settings.

What the Structure Changes Day to Day

Three things get easier. Responsibility becomes clear, because everyone can see which group they belong to and who leads it. Management gets cheaper, because access to tasks, projects and comments arrives with the structure instead of a request to an administrator. And growth stops being a rebuild: new people and new departments are added to the existing chart.

Who It’s For

  • Owners and executives: one chart that answers who is responsible for what.
  • Department heads: access to their team’s tasks and reports without extra permissions.
  • HR: a place where a new hire joins a group and gets their rights with it.
  • Administrators: fewer manual permissions as the company grows.

FAQ

What is the company structure in Planfix?

It is your organization chart built from workgroups. Employees are grouped by department, team or area of responsibility, groups are linked into a hierarchy, and the result is shown as a visual diagram in the employee section.

Do managers get access to their team’s tasks automatically?

Yes. A group manager has access to the tasks of subordinates in their group and in subordinate groups, where the subordinate is the assigner, assignee or participant, and they also see the data tags those people enter in reports.

Can two managers of the same department see each other’s tasks?

By default yes, which lets them substitute for each other, and a glasses icon appears next to their names. If that is not needed, turn the setting off in the interface for editing the group.
