A Facebook Lead Ads CRM integration sends every form submission from your ads straight to your team, with no manual copying of names and phone numbers. No Zapier or third-party connector is needed: leads come through the built-in Facebook integration in Planfix CRM, which uses the official Facebook API, and arrive a few seconds after the form is submitted. How to set up the Facebook Lead Ads CRM integration, step by step

Step 1. Set up the ad and its lead form on Facebook

The video starts on Facebook, with the ad and its lead form. A lead ad uses the Leads campaign objective and a Facebook lead form (Instant Form), which can prefill details people have shared with Facebook, such as full name, email and phone number, alongside your own custom questions. Decide which answers need their own task field (see Step 4).

Step 2. Connect your Facebook page to Planfix

In Account Management, the account administrator opens the Integrations – Social media tab. Lead Ads come through the Facebook integration itself, so there’s nothing extra to connect: choose Facebook in this tab. On the Facebook integration screen, click Add page, select your pages and allow Planfix to receive the information it needs from Facebook.

You need administrator rights on the Facebook page; an empty page list means your Facebook account isn’t linked to any company pages. If the page is managed in Meta Business Suite (Business Manager), the Business Manager administrator opens the company settings, clicks Add people in the Pages section and gives you permission to manage the page. To link only some pages, select all first, then unselect the rest in the integration settings.

Step 3. Choose templates for lead tasks and contacts

Each linked page appears as a card; click its gear icon to open Integration preferences and set:

  • Object (template) for creating new tasks from leads, for example, the Standard template;
  • Template for creating new contacts, for example, the Contact template;
  • Add additional assignees, the employees who will also process lead tasks.

Step 4. Sync Facebook lead form fields

In the same dialog, expand the two field-mapping sections for your lead forms (task and contact), choose which lead fields go where and click Save.

If the object (template) for lead tasks has fields with the same names as the form questions, Planfix fills them in automatically. Create such a field in Account Management — Types of objects (Task type, Custom fields; the Contact type for contact fields) or while editing the object, then add it to the form of the object used for lead tasks.

What happens next: contacts and lead tasks are created automatically

A few seconds after the form is submitted, Planfix creates a contact from the entered data or matches an existing one by email address or phone number. The lead task gets that contact as the assigner and all the answers in its description, so the assignee can call or email right away and talk to the client from that task.

Can I send Facebook Lead Ads to a CRM without Zapier?

Yes. The Facebook integration is built into Planfix, so no Zapier is needed, and it’s available on all paid and premium accounts.

Will a returning lead create a duplicate contact?

Not if the email address or phone number matches an existing contact; the name isn’t checked. That contact becomes the assigner of the new lead task, and the task joins your work history with them.

Why aren’t my Facebook leads showing up in Planfix?

Sometimes, after the integration is connected, leads may not reach Planfix. Send a test lead following Facebook’s lead ads testing and troubleshooting guide, check its delivery with Track Status and make sure Planfix is set as the CRM in Meta Business Suite (Business Manager).
