Once the Interviewer collects all the answers, it automatically fills in the fields in the task or contact card (1). If you tell it to, it will even bring in a human manager to continue the conversation (2).

Even more convenient is the fact that a manager can summon the Interviewer at any time, not just at the beginning. For example, suppose the manager is already chatting and realizes they need to record the client’s details or clarify the service. All they need to do is add the agent to the task, and the mini-interview runs automatically.

Setting up the Interviewer into your CRM workflows is quick and easy.  The primary thing you need to decide is what you want the agent to ask. 

Here’s how you do it. 

First, go to Employees and select a bot (or create one). Next, enable the AI agent, and choose “Interviewer” as the type. Then, tell Planfix where to store the answers the agent collects.

Now you want to specify which fields it should fill.

You can also fine-tune the behavior to your needs. For instance, you might specify:

  1. Who to send notification after the interview. Maybe you want to add the sales rep to the task as soon as the agent finishes, or set a timeout: “If the client doesn’t reply for N minutes, invite a manager.”
  2. What the agent says. You can set the greeting, the message for successful completion, and the message for failure. This way, the dialog remains neat and consistent.

There’s also a convenient field for Additional instructions, where you can specify the agent’s tone, such as:

  • “Write in a formal style,”
  • “Be friendly,”
  • “You can use emojis,”
  • “Keep it short.”

This ensures the Interviewer matches your brand’s voice rather than sounding like just another “ generic chatbot.” If your workflow requires the agent to join every client task, simply add this to the Object from which your requests are created, and it will be included by default.
