In Planfix, basic access is defined at the task level, not the project level. By default, all employees will see all projects in a list, but when they click on a project they will only see the tasks they have access to.

If you need to hide a project entirely from a user, use the Hidden project feature.

Project auditors

Project auditors have access to all of a project's tasks. They can view, edit, and delete tasks, even if they are not an auditor or participant in them. Because of this, we don't recommend that you designate external users, such as clients, as auditors. There are other methods of setting up external users' access to a project.

Contacts with Planfix access

The visibility rules depend on whether the project is hidden from contacts or not:

Public project

Visible to:

  • Contacts whose company is a counterparty in the project.
  • Contacts who have tasks available to them within the project.

You can check which tasks are available to contacts using this filter:

Hidden project

Visible for:

  • Contacts for whom tasks are available in the project.

You can use the same filter as before to check which tasks are available:

Additional information

  • Read more about various project-level roles in our article Project roles.
