Planfix allows you to create tasks without assignees, but as a rule, assignees in the task are present. The assignees of the task can be:

  • Employees of your account;
  • Groups of employees;
  • The clients you've given access to your account;
  • External contacts that do not have access to your account.

The task assignees are selected from the general list, in which there is a list of all employees and contacts:

If employee group is selected as the task assignees, all its participants will have access to the task, they can add actions to it and change the status of the task. New employees added to this group will also have access to this task.


If an external contact is selected as an assignee and does not have access to your Planfix account, he can work on the task via e-mail. His replies to the notification letters from Planfix will be added to the task as an action. Attached files will be added to the task. Thus, for example, you can organize work with an external freelancer or a client - they will communicate with the usual mail, and you will see all the work on the task in the action ribbon.


Account staff and clients that you gave access to your account will see the task in the list of their tasks (Tasks - Inbox). They can add comments, files and other information to the task by using actions. It also has the functionality described above to add actions to the task via e-mail.


Assigning mode options

In the advanced settings of the task there is a choice of the connection option for the performers:

By default, the executors of the task are all users added to the Assignee field. Additional connection options allow you to implement scenarios in which the executor is the employee who took the task first. This is relevant for different applications, for example, freelancers, support services, etc.

Please note: in any of the connection options only those users that were included in the Assignee field are used.
