Setting a language for an employee affects:
- The language of notifications they receive from the system
- The language of the Planfix interface
Setting an employee's interface language
When creating an employee, select the desired interface language for them in their card:
This ensures that the employee will receive their Planfix invitation in the appropriate language.
Interface language can also be changed in the Settings tab of an employee's card:
Once changes have been saved, the employee will start receiving notifications in the new language. The interface language will also change.
Important
Since Planfix contains a wide variety of settings, there are several things to keep in mind when using multiple languages to guarantee that all the employees in your account will use the interface with ease. It's important to note that changing the language affects the interface's text but not the content added to the system.
A simple example
Let's say you created a task and wrote the name and description in English. Then you linked a Russian-speaking colleague to the task. This colleague will see the Russian version of the interface, but the task name and description will still be in English.
A less simple example
Let's say you created a filter called "Overdue tasks" and gave access to it to all employees in your account. Your Russian-speaking colleagues will see the English name for this filter in the list of their own filters, and this could lead to confusion.
Conclusion
When working in an account with users who use the interface in different languages, you should be mindful of how shared objects are named. Either agree on a single language used for shared object names or do not grant access to an object if a user doesn't speak the language it's named in.
The list below will make it easier for you to identify places where it's possible for users to find content in languages they don't understand:
- The Planfix! section:
- The first automatic tasks for employees will always be in the same language (the main account language). Disable these tasks or use a multilingual task name and description.
- All tasks an employee (or a group they belong to) has access to
- Planner:
- Standard planners are created for users in the language set in their user card when the planner is created.
- Additional planners (planner names and names of lists within planners) created by the user's colleagues, which the user (or a group they belong to) has access to
- Projects:
- Names, descriptions, and custom fields of projects the user (or a group they belong to) has access to
- Tasks:
- Names of filters created by other users that are available to the user (or a group they belong to)
- System filters on custom task statuses if there are no language alternatives set for the statuses. In each custom status settings, you can specify an alternative name for the status in any supported language(s).
- Names, descriptions, and custom fields of tasks the user (or a group they belong to) has access to
- Documents:
- Names and descriptions of documents the user (or a group they belong to) has access to
- Reports:
- Names of reports the user (or a group they belong to) has access to
- Column headers and row totals in reports
- Contacts:
- Names of additional filters created by other users, which the user (or a group they belong to) has access to
- Names of contacts/companies and their data
- Company:
- Names of employees and groups
- Names and contents of additional fields created by the administrator, which the user has access to
- Directories:
- Names and contents of directories the user has access to.
Tip
- To test the experience for users of a certain language, add a test user to the system with your email address and the desired language
- Log in to Planfix with the test user's account and look at the system as they would see it
- Make the required changes to object names and/or permissions to objects so that users with the test user's language will see all aspects of Planfix in a language they understand
