Create the Knowledge base object<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Go to <strong>Account Management<\/strong> \u2192 <strong>Types of objects<\/strong>, click <strong>New Object<\/strong> and name it <strong>Knowledge base<\/strong>. In the video, published in 2024, this section is still called <strong>Objects<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A new object starts with a standard set of fields. Remove the ones articles don\u2019t need and keep those that help people find them, such as tags. Set <strong>Task description<\/strong> as the default view so articles load correctly, then click <strong>Save<\/strong>. The object now works as your knowledge base article template: every article gets the same form.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2. Set up article statuses<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Open the object\u2019s <strong>Status set<\/strong> tab. Remove the statuses you don\u2019t need, keep <strong>Draft<\/strong> and add <strong>Active<\/strong> and <strong>Archived<\/strong>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Active<\/strong> for articles in use;<\/li>\n\n\n\n<li><strong>Archived<\/strong> for outdated articles you don\u2019t want to delete;<\/li>\n\n\n\n<li><strong>Draft<\/strong> for articles that are still being written.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Then set the transitions following the <a href=\"https:\/\/planfix.com\/help\/Set_of_object_statuses\">status set and transition rules<\/a>: click the plus sign in a status row to add one, and click the added status to choose who can switch to it or to delete the transition. In the video, the three statuses are linked by transitions, so an archived article can go back to Draft or Active.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3. Create the knowledge base project<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Create a new project with the <strong>Standard template<\/strong>; its default fields are enough. Sections become tasks, such as \u201cHR\u201d, and articles become their subtasks, such as \u201cHow to request vacation\u201d. Subtasks nest without limit, so sections can have subsections.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4. Choose who reads and who edits<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In <strong>Roles in project<\/strong>, add people or whole groups; the video adds an employee group. If a group is a participant, all its members get access, including new ones. Two roles cover a simple knowledge base:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Default participants<\/strong> can read and comment on articles but can\u2019t edit or delete them or change their status. Planfix suggests them for every new article, and the checkbox under the list adds them to articles already active;<\/li>\n\n\n\n<li><strong>Auditors<\/strong> can edit articles.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Give the Auditor role only to a few editors. A <a href=\"https:\/\/planfix.com\/help\/Project_auditor\">project auditor<\/a> can also delete and restore project tasks and edit or delete the project itself.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 5. Make Knowledge base the default object<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In the project\u2019s <strong>Details<\/strong>, change the default task object from <strong>Not set<\/strong> to <strong>Knowledge base<\/strong>. The <strong>New task<\/strong> button in this project now creates every article with the right object. For quick access, an account or technical administrator can add the project to a workspace\u2019s main menu in <strong>Workspaces<\/strong> \u2192 <strong>Managing workspaces<\/strong>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Example: the finished knowledge base from the video<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">At the end of the video, the finished Knowledge base project opens with a tree of section tasks on the left and an article on the right: an internal process guide with numbered headings, one of them on access management for company systems. Default participants can\u2019t change statuses, so leave this to your auditors. The article stays in the project instead of being deleted, and the transition back to <strong>Active<\/strong> returns it to use.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How do I set knowledge base permissions in Planfix?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Through project roles: default participants read and comment, auditors edit, so keep auditors to a few editors. Object access is separate: by default every user can use the Knowledge base object, and the permissions icon in the object card limits who can.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Is there a ready-made knowledge base template?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Yes.
