Create one project per outcome<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Make one project per outcome, such as a client, a release or a process, so every task has an obvious home. Use the <strong>Create<\/strong> button, or click <strong>New project<\/strong> in the <strong>Projects<\/strong> section menu. Choose a project group and whether to hide the project from employees or clients.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2. Assign project roles to employees and clients<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Decide who oversees the work and who talks to the client before tasks pile up:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Project auditor<\/strong>, usually a manager: sees all tasks, files and actions in the project, except hidden comments.<\/li>\n\n\n\n<li><strong>Client manager<\/strong>: handles communication with the project\u2019s clients, who usually set tasks for this person.<\/li>\n\n\n\n<li><strong>Default assignee<\/strong> and <strong>Default participant<\/strong>: suggested for every new project task.<\/li>\n\n\n\n<li><strong>Counterparty<\/strong>: the company the project is done for.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Access is set per task, so being in a project does not by itself open all of its tasks to an employee.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3. Build a project hierarchy with subprojects<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Split work into subprojects when a stage has its own team or deadline, and stop at two or three levels. A subproject is an ordinary project with the <strong>Parent project<\/strong> field filled in, and project lists can show the hierarchy as a tree.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4. Store project documents in one place<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Keep files next to the work they belong to, not in chat history. Any file uploaded to a project task lands in the project\u2019s folder automatically, and <strong>Project documents<\/strong> in the project card lists them all. Use <strong>New file<\/strong> and <strong>New folder<\/strong> to build a document base.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 5. Track progress with the project log, reports and task filters<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Check progress inside the project instead of collecting status updates by message. The <strong>Project log<\/strong> gathers actions from all project tasks. The <strong>Reports<\/strong> panel in the project card runs any universal report already filtered to this project. The <strong>Task list view<\/strong> setting opens project tasks in a <strong>Default task filter<\/strong> or a <strong>Default planner<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 6. Save the setup as a project template with tasks<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Once a project runs well, freeze its structure so the next one starts from the same point. Save a successful project as a template, or build one in <strong>Projects<\/strong> \u2192 <strong>Project templates<\/strong> \u2192 <strong>New project template<\/strong> and add tasks with <strong>New task template<\/strong>. These tasks are created only in new projects based on the template.
