Add employees to Planfix<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Go to the <strong>Employees<\/strong> section and select <strong>New employee<\/strong>. Enter the person\u2019s first name, last name and email address, where their invitation to Planfix is sent. Save the changes, then repeat for each colleague to bring the team into one shared workspace.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2. Pick the assignee when you create a task<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Create a new task and select the right employee in the assignees field. By default, the task then waits in the <strong>New<\/strong> status with <strong>Accept<\/strong> and <strong>Decline<\/strong> buttons, and accepting moves it to <strong>In progress<\/strong> (tasks you assign to yourself skip straight to <strong>In progress<\/strong>). Declining asks for a reason that goes to the task\u2019s assigner.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3. Assign one task to multiple people<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Several assignees can share one task and work on it together: this is the default option, <strong>This task has multiple assignees<\/strong>. When you create a task, the <strong>Add assignees<\/strong> setting in the <strong>Additional parameters<\/strong> tab offers other ways to link them:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Subtask for each assignee:<\/strong> each person gets their own subtask, and the assigner tracks them all in the parent task.<\/li>\n\n\n\n<li><strong>Checklist item for each assignee:<\/strong> one shared task where only an item\u2019s assignee can mark it complete.<\/li>\n\n\n\n<li><strong>Assignees set in sequence:<\/strong> tasks are distributed evenly among several people.<\/li>\n\n\n\n<li>First to accept (competitive assignment): two options make the first person to accept the assignee; the rest either stay as participants or are removed.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4. Use an existing task or the employee card<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">You can add employees to an existing task or create a task for an employee directly from their card. Assignees are added or removed in the task\u2019s <strong>Details<\/strong> panel.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 5. Control who can see and change the task<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Planfix tasks have access permissions by role: some users only view a task, others edit it or monitor its completion. By default:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Assigner<\/strong> (usually the person who created the task): adds actions, changes statuses, assignees and dates, edits and deletes the task.<\/li>\n\n\n\n<li><strong>Assignee:<\/strong> adds actions and changes statuses, assignees and dates, but can\u2019t edit or delete the task.<\/li>\n\n\n\n<li><strong>Participant:<\/strong> views the task and adds actions.<\/li>\n\n\n\n<li><strong>Task auditor<\/strong> and <strong>account administrator:<\/strong> all of the above.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">See the full table of <a href=\"https:\/\/planfix.com\/help\/Table_with_permissions_for_access_to_tasks,_by_role\">task access permissions by role<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Task assignee vs participant<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A task assignee is the person responsible for completing the task. Assignees can be employees, employee groups, customers with access to your account, or external contacts without access who work on the task by email.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A participant has access to the task but isn\u2019t responsible for it: they can comment, but can\u2019t change the status or end date, and the task isn\u2019t in their Inbox. Mentioning an employee with @ or + in a task comment adds them as a participant.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Tips for assigning tasks to employees<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>One owner per result:<\/strong> when several people each deliver their own part, use Subtask for each assignee. To have everyone confirm they\u2019ve read new instructions, use a checklist item for each assignee.<\/li>\n\n\n\n<li><strong>Check the result before closing:<\/strong> the assignee moves the task to <strong>Ready for review<\/strong>, and the assigner sets <strong>Complete<\/strong>.<\/li>\n\n\n\n<li><strong>Spread incoming work evenly:<\/strong> for sales or support requests, the Assignees set in sequence option distributes tasks evenly among several people.<\/li>\n\n\n\n<li><strong>Give managers visibility without extra roles:<\/strong> in the Company structure, group managers have access to the tasks of all their subordinates.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">FAQ<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">How do I reassign a task to another employee?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Open the task\u2019s <strong>Details<\/strong> panel, remove the current assignee and add the new one; the change is recorded in the task log. If someone is on leave, <a href=\"https:\/\/planfix.com\/blog\/teamwork\/enjoy-seamless-workflow-with-temporary-replacements\/\">hand over tasks to a temporary replacement<\/a> instead. For a permanent handover, transfer their tasks from the employee card.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Can I assign a task to someone who doesn\u2019t use Planfix?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. Enter their email in the assignees field and press Enter. If they have a Planfix account in another company, Planfix finds them; if not, it creates a contact who works on the task by email, and their replies to notifications become comments.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Who gets notified when a task is assigned?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">By default, only assignees get an automatic notification about a new task.
