In <a href=\"https:\/\/planfix.com\/features\/planner\/\">the Planfix planner<\/a>, you can give each employee\u2019s tasks their own list on one screen, and dragging a task between lists changes its assignee or status. Create a planner with a list for each employee<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Open the <strong>Planner<\/strong> tab. At the bottom of the panel with the list of planners, click the <strong>Add<\/strong> icon, select <strong>Planner<\/strong> and name it. Then <a href=\"https:\/\/planfix.com\/features\/selection-parameters\/\">set up a planner list for each employee<\/a>: in the list\u2019s selection parameters, add a condition on <strong>Assignee<\/strong>, so the list shows only that person\u2019s tasks.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Conditions are joined with AND by default, so you can add a second one, for example, by project, to see one person\u2019s load on a single project.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2. Create tasks right where they belong<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In short or full form, you can <a href=\"https:\/\/planfix.com\/help\/Quickly_create_a_task_in_a_list\">create a task right in the planner list<\/a> where it belongs. For a short-form task, type a name in the list\u2019s creation field and press Enter. The new task takes on the list\u2019s selection parameters, so a task created in an employee\u2019s list is assigned to them from the start.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3. Drag and drop tasks to rebalance the load<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">When one list gets too long, use drag and drop: <a href=\"https:\/\/planfix.com\/features\/move-it-change-it\/\">drag a task to another list to change its status or assignee<\/a>. A moved task takes on the new list\u2019s selection parameters: drag it from an \u201cIn progress\u201d list to a \u201cReady for review\u201d list, and its status changes to Ready for review. The task itself changes, so the new status shows up across Planfix.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4. Group tasks by status and sync list filters<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In a list\u2019s selection parameters, the <strong>Grouping<\/strong> block splits tasks into groups, for example, by status. Drop a task into a group, and it takes that group\u2019s value, such as its status. Turn on the <strong>Show totals section<\/strong> setting to see the number of tasks under each list heading, a quick way to compare workloads without a report.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To adjust all lists at once, <a href=\"https:\/\/planfix.com\/help\/Synchronizing_planner_lists\">synchronize planner lists<\/a>: click the planner name to turn on synchronization. Changes to the filter conditions, or to the fields and operations shown on task cards, in one list then apply to the others. Condition values sync too, so set each employee\u2019s <strong>Assignee<\/strong> condition before you turn sync on, or keep those lists out of sync with the <strong>Lock<\/strong> icon. Sorting, grouping, filter logic and colors don\u2019t sync.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Example: moving work from one employee to another<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Here is how it works in practice (the example is from the Planfix Help Center). Take two lists, \u201cMax\u2019s tasks\u201d and \u201cAlex\u2019s tasks.\u201d Drag a task from the first list to the second, and the assignee switches from Max to Alex. Now picture both lists grouped by status, with totals turned on. If the total under Max\u2019s list is higher, drag one of his tasks into a status group in Alex\u2019s list, and both the assignee and the status change. Nobody edits the task by hand or reports the change.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Who a workload planner is for<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Team leads:<\/strong> a list per employee shows who is overloaded and who has room, and one drag reassigns a task.<\/li>\n\n\n\n<li><strong>Department heads:<\/strong> tasks moved to a department\u2019s list pick up its settings, such as adding the department\u2019s designers as assignees.<\/li>\n\n\n\n<li><strong>Operations managers:<\/strong> totals under each list show how many tasks each person has, with no report to collect.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Team workload management: FAQ<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">How do I see each employee\u2019s tasks in one place?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Create a planner with a list for each employee, filtered by <strong>Assignee<\/strong>. All lists sit on one screen, and a task that meets the conditions of several lists appears in each without duplicates.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Does moving a task to another employee\u2019s list reassign it?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, if the list selects tasks by <strong>Assignee<\/strong>. A moved task takes on the new list\u2019s selection parameters, so the assignee is replaced; hold <strong>Ctrl<\/strong> while you drag to add the person instead. The same works for a list that selects or groups tasks by status.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Can my team see the workload planner?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">By default, only the planner\u2019s creator can open it. To share it, click the planner name and set access for coworkers. Access to a planner doesn\u2019t grant access to tasks, so users may see different tasks in the same planner.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Build your workload planner<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Start with one list per person and a condition on the assignee, then add grouping and totals.
