Planfix does it with four kinds of addresses:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><thead><tr><th>Address<\/th><th>Who creates it<\/th><th>Direction<\/th><th>What happens<\/th><\/tr><\/thead><tbody><tr><td>Project address<\/td><td>Planfix, automatically<\/td><td>Incoming<\/td><td>A task in that project, with its default template and assignees, if set<\/td><\/tr><tr><td>Employee address<\/td><td>Planfix, automatically<\/td><td>Incoming; default sender<\/td><td>A task assigned to that employee<\/td><\/tr><tr><td>Virtual address<\/td><td>Account administrator<\/td><td>Incoming only<\/td><td>Tasks per its processing rules; you can forward a regular mailbox to it<\/td><\/tr><tr><td>External address<\/td><td>You, in Outgoing messages<\/td><td>Outgoing only<\/td><td>Sending from your own mailbox; paid and premium accounts and the trial<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">How to send and receive emails in Planfix, step by step<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Step 1. Use the addresses Planfix creates for you<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Planfix generates project and employee addresses automatically, so there\u2019s nothing to configure. Each project has its own <a href=\"https:\/\/planfix.com\/help\/Project_email_addresses\">project email address<\/a>, shown in the <strong>Project details<\/strong> panel; emails sent to it become tasks there, with the project\u2019s default template, assignees and participants if set.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Every team member also has a personal address, login@youraccount.planfix.com. An email sent there becomes a task assigned to them, with the subject as its name, the body as its description and the attachments included.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2. Add a virtual email address for customer emails<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Virtual addresses usually collect customer emails, for example at one shared address for the entire account. Account administrators <a href=\"https:\/\/planfix.com\/help\/Virtual_email_addresses\">create virtual email addresses<\/a> in <strong>Account management<\/strong> \u2192 <strong>Email<\/strong> \u2192 <strong>Virtual email addresses<\/strong> with the <strong>New email address<\/strong> button, then click the address to set up processing rules.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Virtual addresses only receive mail. If you have more than one sending address, you pick the sender when replying from a task, such as your own or a company external address.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3. Connect an employee\u2019s external email address<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Before you start, make sure POP3 is enabled in your mail server\u2019s settings. To send emails from your own mailbox, <a href=\"https:\/\/planfix.com\/help\/Employee_external_email_address_settings\">connect an employee\u2019s external mailbox<\/a>: go to <strong>Account management<\/strong> \u2192 <strong>Email<\/strong> \u2192 <strong>Outgoing messages<\/strong> \u2192 <strong>Employee external email addresses<\/strong>, select the employee and click <strong>Add external email address<\/strong>. Then:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>choose your mail server: a popular service preset or your own;<\/li>\n\n\n\n<li>enter the sender\u2019s name and email address;<\/li>\n\n\n\n<li>if needed, link the address to specific projects.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">The same steps work for a company address in <strong>Company external email addresses<\/strong>. Sending from external mailboxes works in paid and premium accounts and during the trial; on the free plan, emails go out from internal addresses.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4. Test the connection and save<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Test the settings and save them: Planfix notifies you when the connection succeeds, and settings that fail the test can\u2019t be saved.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Example: a customer email handled inside one task<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">A customer writes to your virtual address, and Planfix creates a task; a new sender also becomes a contact. The assignee comments, selects the customer in the <strong>Notify about this<\/strong> block and, if several addresses are available, picks the company external address as the sender. The customer gets an ordinary email, and their reply lands in the same task as a new comment, with attachments.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Who this is for<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Email and task management software pays off for anyone who gets work by email:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Project teams:<\/strong> send client briefs to the project address, and they arrive in that project as tasks.<\/li>\n\n\n\n<li><strong>Support teams:<\/strong> collect requests at one virtual address, as in <a href=\"https:\/\/planfix.com\/teams\/help-desk\/\">help desk software<\/a>, and reply from a company external address.<\/li>\n\n\n\n<li><strong>Account managers:<\/strong> forward their work mailbox to Planfix and connect it as their external address, so clients get replies from the mailbox they wrote to.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">FAQ<\/h2>\n\n\n\n<div data-schema-only=\"false\" class=\"wp-block-aioseo-faq\" id=\"aioseo-can-i-assign-a-task-by-sending-an-email\"><h3 class=\"aioseo-faq-block-question\"><strong>Can I assign a task by sending an email?<\/strong><\/h3><div class=\"aioseo-faq-block-answer\">\n<p class=\"wp-block-paragraph\">Yes.
