Create the payments object<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In the video, every payment is a task of a dedicated payments object. <a href=\"https:\/\/planfix.com\/features\/objects\/\">Custom objects<\/a> combine fields, status sets and automated scripts in one lifecycle. Go to <strong>Account Management<\/strong> \u2192 <strong>Types of objects<\/strong> (called <strong>Objects<\/strong> when the video was recorded) and click <strong>New Object<\/strong>. Enter a name, remove the fields you don\u2019t need and add two new ones:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the payment amount, a <strong>Number<\/strong> field;<\/li>\n\n\n\n<li>the recipient, a <strong>Counterparty<\/strong> field.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">You can prefill fields so they fill in automatically whenever someone creates a payment, for example, with the person responsible for payments. Then save the object card.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2. Set up the payment statuses<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Continue with the object\u2019s status configuration. Standard statuses are added to the set automatically: remove the ones you don\u2019t need, add those that match your payment process, including a paid status, and arrange them in the order you want. To add a status, click <strong>Add status to set<\/strong> and pick an existing status or create one with <strong>Plus<\/strong>. Removing a status from the set doesn\u2019t delete it from the account.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3. Create the payment report<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Open <strong>Reports<\/strong> and click <strong>New report<\/strong>. Name the report and select the object it\u2019s based on. Then:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>in the <strong>Report view<\/strong>, add the name, date, recipient and payment amount columns;<\/li>\n\n\n\n<li>on the payment amount column, set up grouping and add a total;<\/li>\n\n\n\n<li>under <strong>Selection parameters<\/strong>, add filters for the payment amount, due date and object;<\/li>\n\n\n\n<li>group and sort the data by date;<\/li>\n\n\n\n<li>save the report.<\/li>\n<\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Example: one payment, from task to paid status<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The demo opens with a simple question: how much do you need to pay out in the next few days? The report answers it by summing payments by date, and each payment behind those sums is a task of the payments object.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Here\u2019s how one payment moves through it. The accountant creates a task and enters the payment details, and every discussion about the payment continues in that task until the process is complete. If the amount is missing or the payment has to be rescheduled, the accountant opens the task and updates the data, and the report updates immediately.
