Access to a project
In Planfix, basic access is defined at the task level, not the project level. By default, all employees will see all projects in a list, but when they click on a project they will only see the tasks they have access to.
If you need to hide a project entirely from a user, use the Hidden project feature.
Who sees a project
- Public project for employees — visible to all employees.
- Hidden project for employees — visible to explicitly specified employees.
- Public project for contacts — visible to the project counterparty’s contacts.
- Hidden project for contacts — visible to explicitly specified contacts.
- In addition, a project is visible to auditors and client managers.
- For hidden projects, when a person is added to a task, they are automatically added to the list of those explicitly granted access.
Project auditors
Project auditors have access to all of a project's tasks. They can view, edit, and delete tasks, even if they are not an auditor or participant in them. Because of this, we don't recommend that you designate external users, such as customers, as auditors. There are other methods of setting up external users' access to a project.
Contacts with Planfix access
The visibility rules depend on whether the project is hidden from contacts or not:
Public project
Visible to:
- Contacts whose company is a counterparty in the project.
- Contacts who have tasks available to them within the project.
Hidden project
Visible for:
- Contacts for whom tasks are available in the project.
When you create a task in a hidden project, all its assignees and participants automatically receive access to the project.
